Pause, check, then fix the right thing

Most service problems aren't solved by repeating the action. Check the date, service, connection, permission and status first.

A reservation is missing.

Check the date and the service period in the header first; a lunch booking is hidden while dinner is selected. Then set the list's Status filter to All statuses (cancelled and completed bookings are hidden by default), and search the header for the guest's phone number or confirmation number. If it was booked offline, check Pending actions.

A report number looks wrong.

Reports count what staff recorded. Covers count guests in seated and completed parties; turns count completed parties; no-shows and cancellations aren't covers. Check the range and service, then look for parties still marked Seated or never marked Completed, fix them, and check again.

A table cannot be selected.

The table may be seated, held, blocked, hidden by the active layout, too small for the party, or the service may be closed. Open the table's menu to see its state, release a hold or block if you need to, and check the header shows today and the current service.

Online guests cannot find a time.

Check, in order: the date isn't closed or beyond Max advance days; the party size is within Online min party and Online max party; the time is between First booking and Last seating; the time isn't paused in Service adjustments or past the Online booking cutoff; the Max covers per 30 min cap isn't reached; and a table that takes online bookings is free for the whole dining time. See Online booking › Fix a time that won't show online.

A message failed.

Open the booking, check the phone number or email, and click Retry message. If the guest has opted out of texts, send an email instead. For anything urgent, call the guest.

The app says Offline or Syncing.

Keep the page open and don't clear the browser's data. You can still take new reservations; they sync when you reconnect. Seat and move parties once the dot by the clock is green again, then check Pending actions for anything that couldn't sync.

Hostbook support asked for a device report.

On the device with the problem, open About (the ⋯ menu in the header, or More › About Hostbook on a phone) and click Send device report to Hostbook support. It needs a connection and sends no guest details.

Receipt slips print with a lot of blank paper after them.

The printer is feeding a whole page. With the Print Helper, lower Blank lines after each slip. Without it, choose a receipt paper size and Default margins in the print dialog, or turn on paper saving in the printer settings. See Settings › Fix slips that print with a long blank tail.

A button is grey and won't work.

Most live actions (seat, walk-in, assign table) only work on today's date in the current service. Check the header date and service, look for a Service closed banner, and check you're online. If a PIN prompt says Don't allow, a manager has turned that action off in Action stamping.

Someone forgot their PIN.

A manager opens Application Settings › Staff & PINs, clicks Edit on the person and types a new PIN. Managers and admins can change their own with Email me a change link.

A guest didn't get their confirmation.

Open the booking and check the email and phone. Then click the speech-bubble icon on the booking card, choose Resend confirmation and click Send. If a text failed, open the booking and click Retry message. Ask the guest to check spam.

The floorplan is too small or too big.

Hover over (or tap) the round zoom button at the bottom-right of the floor and click + or − (or pinch). To keep that zoom for the room on this device, click the percentage and choose Save current view as 100% for this room. See Floorplan › Save the zoom level for a room.

Push notifications aren't arriving.

Push is for managers and admins. In Application Settings › My notifications, click Enable push on this device, allow notifications in the browser, and switch Push on for the notices you want. On an iPhone or iPad, add Hostbook to the Home Screen and open it from there first.
