Take bookings online
Copy your booking link, put the booking form on your website, change how the booking page looks, see what guests go through, and fix times that don't show online.
Every venue has its own booking page. Guests pick a party size, date and time, fill in their details, and get a confirmation with a link to view, change or cancel.
Online bookings follow your service schedule and online rules (cutoff, pacing, party size, closed dates). Staff can always book in-house, even when a time is closed online.
Only owners and admins can see the booking link and embed code (in Admin Settings).
What guests see
See how a guest books online
What your guests go through, step by step.
- 1They choose Party size, Date and Time, then tap a time under Available times (crossed-out times are full or closed).
- 2They fill in First name, Last name, Phone, Email, and optionally Occasion, Allergies and Guest notes.
- 3They choose how to get updates (push or text; email is always sent) and tick your booking policy.
- 4They tap Complete booking request.
They see You're booked (or Reservation received if it needs confirming), with View reservation. If a card or deposit is needed, they go to a secure payment page first.
How guests change or cancel their booking
Guests can manage their own booking.
- 1The guest opens View reservation, or the link in their confirmation email or text.
- 2To change it they tap Change reservation, pick a new party size, date or time, and tap Save changes.
- 3To cancel they tap Cancel reservation, then Yes, cancel reservation.
- Online changes stop inside your online cutoff, for table-locked bookings, and after the date. Guests see a message asking them to call.
- Guests can't change their name, contact details or notes online; change those for them in the booking.
How guests join the online waitlist
When a time is full, guests can ask to be told if a table opens up.
- 1Turn it on first: Admin Settings › Services & booking rules › Booking rules › Online availability waitlist.
- 2When times are full, the guest taps Join the availability waitlist, chooses Service, From, Until and Minimum notice, and sends it.
Hostbook keeps checking and reserves the first matching table, then asks the guest to confirm. Staff see the requests on the waitlist.
Control what guests can book
Fix a time that won't show online
Guests say a time is missing or crossed out.
- 1Check the date isn't closed (Admin Settings › Services & booking rules › Booking rules › Closed dates) and is within Max advance days.
- 2Check the party size fits the service's Online min party and Online max party.
- 3Check the time is between First booking and Last seating on the Service schedules tab.
- 4For tonight, check the time isn't paused in Service adjustments, or past the Online booking cutoff.
- 5Check the Max covers per 30 min cap isn't already reached, and that a table that takes online bookings is free for the whole dining time.
- Tables with Block online reservations, held or blocked tables, and event blocks don't count as free online.
Pause online bookings for a time tonight
Stop online bookings for a busy slot.

Not available yet
Things staff ask for that Hostbook doesn't do yet, and what to do instead. Want one? Open Help › Support Chat and click Send a suggestion.
- Turn online booking off with one switch
- Use a closed date set to Online booking only, the Recurring online schedule, or tonight's Service adjustments.
- Take food orders or takeout
- Hostbook is for tables, not ordering. The nearest thing is a prepaid promotional menu guests pick when they book.

- There's no live connection to other booking systems. Bring guests and future reservations over once with Admin Settings › Import › Open data tools › Import records, then share your Hostbook booking link instead.
- See only the bookings made online
- There's no filter by where a booking came from. Open a booking's Reservation history to see if it was made by Booking Widget (online).
- Let large parties request a table online
- Parties above your online maximum are asked to call.
- Let guests change their name or contact details online
- Guests can change party size, date and time only.
- Keep old booking links after renaming the venue
- Renaming the venue changes the booking link. Hostbook warns you first.
- Let hosts or managers see the booking link
- Only owners and admins can open Admin Settings, where the link lives.
